Cancel BILL to enroll in Cashflow360
If canceling a BILL account to enroll in Cashflow360, here are some recommended steps to follow before canceling the BILL account.
Collect Payment Network ID's (PNI) for vendors setup for ePayments via the Network
For vendors that you have invited to connect via the BILL Network to pay electronically, collect Payment Network ID's (PNI) for these vendors. PNI's can be found on each vendors record.
- These vendors will need to be connected again manually from within the new account. Entering the PNI on their new vendor record in the new Cashflow360 account will ensure reconnecting to the same account your vendor has created.
- The Payment Network ID is not available on vendor export, it will need to be gathered manually
- If bank account details were added manually for any vendors, they will need to be entered again in the new Cashflow360 account
- For security purposes, this information will not be displayed in the BILL account
Request historical data, if necessary
If cancelling a BILL account and needing a copy of historical records, order a digital download of data via Box or DVD by submitting an email request to BILL Support from an Administrator on the account. Digital downloads typically process within 14 business days and the DVD will take up to 30 days to arrive. The digital download or DVD will include:
- Company Documents: Original File, Created Date, Name (in the original format it was uploaded)
- Vendor & Customer Documents: Original File, Created Date, Vendor Name, Name (in the original format it was uploaded)
- Vendor & Customer Bills & Invoices: Original File, Created Date, Vendor, Invoice Number, Amount (in the original format it was uploaded)
- Vendor Credits: Original File, Created Date, Vendor, Ref Number, Amount (in the original format it was uploaded)
- Checks: Vendor Name, Payment Amount, Check Number, Check Date (in PDF format)
- Notes
- Historical data is for your records only, not to be imported into the new Cashflow360 account
Check for payments that have not cleared yet
Check for in flight payments in the BILL account from the outgoing and incoming payments screens
- Accounts cannot be cancelled if there are still payments in flight
- Outgoing
- Scheduled payments
- Cancel scheduled payments or
- Wait for payment to process and clear
- Uncashed, Returned or Failed payments
- Void any payments that have not cleared yet or
- Wait for payments to clear
- Pending Void and remit credits
- Wait for void credits to clear
- Failed Void and remit credits
- Contact Customer support to have the credit redirected to a different bank account
- To contact Customer Support, log into the account, visit the Support Center and select Contact Us
- Contact Customer support to have the credit redirected to a different bank account
- Scheduled payments
- Incoming
- Ensure payments have a Payment Date (the date your customer's payment is deposited into your bank account) prior to the current date
- Outgoing
- Once there are no in flight payments, a BILL account can be cancelled
Perform one last sync
Perform one last sync to ensure both BILL and your accounting system file is up to date
- QuickBooks Desktop: Select Sync on the BILL Sync Dashboard
- QuickBooks Online, Xero, NetSuite and Intacct: Select Sync Now from the Settings page
Cancel steps for the BILL account
To cancel an account, an Administrator on the BILL account will need to submit a request by performing the following steps:
- Log into BILL
- Select settings
- Select My Subscription under Billing & Subscription
- Select cancel in the phrase "I want to cancel my service" at the bottom of the page
- Select a reason for the cancellation and provide any comments or feedback regarding your cancellation
- Select Confirm
Once the BILL account is inactive, if syncing with an accounting system, the sync is automatically disconnected.
- Note: If canceling after the trial period or in the middle of a billing period, a prorated amount will be due for the time the account was active, and a final statement will be generated and sent to Administrator users
You can now enroll in Cashflow360!
If using an accounting system that directly integrates with Cashflow360, information will sync over from the accounting system into the new Cashflow360 account.
If not using an accounting system that integrates directly, import data using .csv files.
