Purchase order sync: Link or unlink a bill to a PO
When it comes to billing for POs, you can create the bill in Sage Intacct, Oracle NetSuite, or QuickBooks Desktop which will sync to Cashflow360 and link to the PO. However, we suggest you create the bill in Cashflow360 and link it to the PO, which will sync to Sage Intacct Oracle NetSuite, or QuickBooks Desktop.
Notes:
- To be eligible to enable PO Sync, you will need to be syncing with Oracle NetSuite, Sage Intacct or QuickBooks Desktop or Enterprise.
- Purchase Order Sync will be available to new Cashflow360 clients starting in May 2026 during their Cashflow360 onboarding appointment.
- Existing Cashflow360 clients will be able to enable Purchase Order Sync through a phased rollout beginning in June 2026.
- Clients will receive an in-product notification with additional details when the functionality becomes available to them.
Create and link a bill to a PO in Cashflow360:
The Purchase order must already exist in Cashflow360 to link to a bill.
- Select Bills in the navigation menu.
- Select Enter Bill.
- Select the vendor from the drop down.
- Select the PO you want to link in the Purchase Order Number field, and Save.
- We'll automatically show the most recent open POs for the vendor you select in the drop down. You can select one of the most recent, or type in the number to narrow the results in the drop down, then select.
- Sync, which will create the bill and link it to the PO in your accounting system
Note: Once a bill is linked to a PO, it cannot be unlinked and must be deleted if a new bill is required.
Discrepancies: We’ll block the bill save if the PO qty remaining is less than the bill qty.
Link an existing bill to a PO in Cashflow360:
You can only link a bill to PO if the bill has not yet synced to your accounting software. If it has, delete the bill, recreate it, and link to the PO before you sync again.
- Select Bills in the navigation menu.
- Select the invoice number of the bill you'd like to link.
- Select More Actions then Edit Bill.
- Select the PO you want to link in the Purchase Order Number field, and Save.
- We'll automatically show the most recent open POs for the vendor you select in the drop down. You can select one of the most recent, or type in the number to narrow the results in the drop down, then select.
- Once you select a PO, the line items will populate based on the items on the PO, and overwrite any existing line items.
- Sync, which will create the bill and link it to the PO in your accounting system.
Unlink a bill from a PO in Cashflow360:
You can only unlink a bill from a PO in Cashflow360 if the link has not yet synced to Sage Intacct, Oracle NetSuite, or QuickBooks Desktop.
If the link has synced, the option to remove will be unavailable, and you must delete the bill to unlink.
- Select Bills in the navigation menu.
- Select the invoice number of the bill you'd like to link.
- Select More Actions then Edit Bill.
- Select the X on the linked PO in the Purchase Order Number field to unlink.
- Confirm the unlink in the popup; line items that pre-populated from the PO will clear when you unlink the PO.
Things to know:
- You can link multiple bills to one PO
- We don't support linking a bill to multiple PO's within Cashflow360. If you create a bill linked to multiple PO's within Oracle NetSuite or Sage Intacct, the bill will sync to Cashflow360 but won't link to any PO's.
